Job Context

To perform the functions of a Qualified Pharmacist Assistant (Post Basic) in supporting the activities within the PQR department

Key Performance Areas (KPAs)

Standard Operating Procedures

  • Adhere to IHS SOP’s and policies
  • Complete training and re training on SOP’s as required

Reporting

  • Maintain Rework Tracking Register
  • Tracking Register for Billing
  • Rework Consumable Tracking Register
  • Monthly Retention Sample Reports
  • 1D0 Retention Sample Reports

Self-Management

  • Manage own performance
  • Complete SOP refresher training on 2 SOPs per month and new versions of SOPs
  • Exercise time management
  • Exercise prioritization
  • Demonstrate problem Solving
  • Demonstrate accountability in areas of responsibility

Customization Area

  • Documents must be completed in full and accurately
  • CRM’s must be managed and responded to timeously
  • Stock movement must be done accurately
  • Consumable stock levels must be maintained without stock outs

Sampling

  • Run MB51 reports for stock that has been received.
  • Draw up sampling list according to client’s requirements.
  • Log CRM for all Auto Sampling and action all CRMs logged by Clients.
  • Process sample transaction on SAP.
  • Pack and dispatch sample within 24 hours of receipt of stock on the system.
  • Download temperature monitoring devices and complete relevant
  • MRDs/certificates as per client requirements.
  • Close all CRM generated for sampling.
  • Ensure samples are processed by monitoring entire sampling process beginning to end.
  • Update sampling spreadsheet on Pharmacist Share Drive.
  • File all sampling document in an easily retrievable manner.
  • Oversee the completion of sampling documentation and collection of temperature recording device printouts and the forwarding of relevant documents to clients timeously. (Physical samples must be checked before completion of sampling documents)

Retention Samples

  • Data capturing, stock put away, cycle counts, running 1DO reports for clients on specified periods, preparation for destruction and scrapping of stock for Retention Samples as per client specifications.
  • Receipt and download of Client temperature loggers for inbound deliveries.
  • Action all additional client requests for sampling

S6 Area

  • Picking, checking, and packing.
  • Cycle counts/annual counts – Review cycle count reports. Report on stock variances that are exceptional and report to Client/SAHPRA if required.
  • Review approval of all inventory adjustments.
  • Dispatch of orders – only to registered entities.
  • Return process – Quality Assessments on returned goods in accordance with approved criteria, quarterly trending of reasons for returns.
  • Rejected product management – ensure identification and segregation (logically and physically). Providing client QA person with copy of Destruction Certificate
  • Balancing of Registers
  • Destruction – in line with local legislation

Reverse Logistics

  • Quality assessment of returned stock
  • Receiving fridge returns

Destruction Process

  • Destruction – in line with local legislation
  • Reviewing the 1D0 reports for each destruction run
  • Providing client QA person with copy of Destruction Certificate
  • Arranging transport for stock to the 3rd party incineration plant
  • Applying for S5 and S6 SAHPRA destruction approvals where relevant
  • Managing and organizing any Ad-Hoc destruction requests
  • Any queries pertaining to stock incinerated

Personal Hygiene and Good Housekeeping

  • Always dress neatly
  • Keep workstation neat and tidy

Qualifications Required

  • Pharmacist Assistant Certificate (Post Basic)
  • Registration with the South African Pharmacy Council

  • Working knowledge of the Pharmacy and Medicines and related substances control acts. Knowledge of GWP / GDP
