BIOVAC is one of the leading sterile vaccine manufacturers rooted in Africa, with our core purpose being to "protect life". We are looking to hire a dynamic, passionate, confident, proactive and meticulous People Operations Officer to join a goal-oriented team.
QUALIFICATIONS NEEDED:
Required:
- Bachelor’s degree or diploma in Human Resource and Industrial Psychology or equivalent.
Preferred:
- Recognition is given to Prior Learning and practical experience.
Experience needed to deliver the role seamlessly:
Required:
- 1 -3 years HR generalist experience
- Previous HR administration/ generalist experience is required
- Experience in employee relations, recruitment, performance management, and HR reporting etc.
- Knowledge of relevant labor legislation e.g. BCEA, LRA, EEA
Preferred:
- Working knowledge of pharmaceutical manufacturing-related legislation.
- Experience in having faced successfully local and/or international quality audits.
- Experience in general business management within a commercial environment
KEY DUTIES & RESPONSIBILITIES OF THE ROLE:
Core Technical Delivery
Recruitment
- Create and post job advertisements on various platforms to attract suitable candidates.
- Utilize different sourcing methods, including online job boards, social media, and networking, to find potential candidates.
- Maintain a database of qualified candidates for future openings.
- Review resumes and applications to identify the most qualified candidates.
- Conduct initial phone or video interviews to assess candidates' suitability.
- Schedule and coordinate interviews between candidates and hiring managers.
- Participate in interviews to evaluate candidates' skills, experience, and cultural fit. (B1-C5)
- Conduct reference checks to verify candidates' employment history and qualifications.
- Perform background checks as required.
- Prepare and extend job offers to selected candidates in line with approved budget
Onboarding
- Meet with new employees on first day
- Check with the employee that they have submitted all new starter documents and coordinate any outstanding documents between the employee and payroll.
- Schedule and conducts on boarding progress meetings.
- Distribute new employee engagement survey link to employees 1 week prior to check-in.
- Send new employee logistics email to employee 48 hours prior to joining.
- Ensure onboarding schedules are developed.
- Connect with line manager on who the Bio-pal needs to be and ensure that bio buddy, line manager and new employee are aware of the role of the buddy.
Offboarding
- Receives signed resignation letter from line manager informs HC team of the resignation.
- Liaise with external stakeholders for cancellation of medical aid, gap cover and/or other benefits.
- Send employee provident fund offboarding documentation for completion.
- Schedule and conduct exit interviews and document feedback.
- Liaise with manager to ensure employee has been offboarded by sending them the exit checklist.
Industrial Relations
- Consults with People Operations Business Partner to:
- Provide guidance to line managers regarding the conduct and misconduct management processes.
- Provide guidance to line managers and investigate/process disciplinary cases. /Process grievances.
- Review practices to ensure statutory compliance and regularly provide guidance to line managers.
- Participate in consultations with organized labour.
- Ensure ER principles are embedded in your own actions and those of Line Management/Supervisors
- Drafting notifications and IR Letters
- Books meetings for enquiries with all parties
- Participate in Disciplinary Enquiries as People Operations Representative
- Follows up on required and/ or outstanding IR interventions to ensure conclusion thereof.
- Ensure company precedence is consistently maintained and mitigate risks.
- Consults with People Operations Business Partner and/or HOD: People Operations on intervention requirements
Transformation:
- Partners with People Operations Business Partner to ensure that B-BBEE verification process logistics are handled timeously and ensures that audit documents are correct and on file.
Performance & Talent Development:
- Support People Excellence with the implementation of the full performance and talent management cycle and alignment to timelines by driving timely completion of performance assessments and feedback processes.
- Assist with employee recognition initiatives within various departments to ensure they generate a meaningful impact.
- Support and track implementation of performance improvement plans (PIPs) for underperforming employees by ensuring documentation and follow-up are handled professionally and in line with company policy.
General HR Functioning
- Support the development and implementation of HR initiatives and systems
- Provide coaching & counselling on policies and procedures
- Participate and contribute constructively to People & Brand and business-specific projects for continuous improvement, lead and champion projects assigned.
- Maintain employee records according to policy and legal requirements
- Review employment and working conditions to ensure legal compliance
- Support the compilation of data for submission of EE and BBBEE plans/reports/audits
HR Metrics & Analytics
- Collect and maintain accurate HR data across various functions including recruitment, onboarding, performance management, training, and employee relations.
- Partner with People Excellence to generate regular HR reports to provide insights into workforce trends such as turnover rates, absenteeism and recruitment
- Collaborate with People Operations Business Partner to define key performance indicators (KPIs) for HR initiatives and track progress against goals.
- Ensure data integrity and confidentiality, especially when handling sensitive employee information.
- Assist in benchmarking HR metrics against industry standards to evaluate competitiveness and identify opportunities for improvement.
- Contribute to workforce planning efforts by providing data on headcount, attrition, and succession readiness.
