Headquartered in Geneva, with field offices across the world, HD operates in more than 20 countries with over 350 colleagues. As part of an organisational change and to strengthen our HR function, we are looking for an:
HR Associate
Location: Nairobi, Kenya
Starting date: as soon as possible, ideally from September 2026
Reporting to: Regional HR Manager (HQ)
The role
Reporting to the Regional HR Manager, the HR Associate provides day-to-day HR support to employees, managers and external consultants. You will contribute to a smooth and responsive employee experience across the employee lifecycle, from recruitment and onboarding through learning and development.
Working closely with colleagues in HR and across the organisation, you will play an important role in ensuring accurate HR administration, reliable data and efficient HR processes.
Key responsibilities:
Employee lifecycle & HR administration
- Support onboarding, induction and offboarding, including related documentation and formalities.
- Provide first-level support to employees on HR administrative matters.
- Assist with employment and consultancy contracts, amendments, certificates and other HR documents.
- Support work and residence permit processes and other related formalities.
Sourcing/recruitment
- Support the preparation and publication of job descriptions and advertisements.
- Coordinate interviews, written tests and candidate communications.
- Support candidate selection and ensure a positive recruitment experience.
- Maintain recruitment data and reporting.
HR data, HRIS & payroll
- Maintain accurate and up-to-date employee and consultant data in the HRIS.
- Support HR data management, archiving and compliance with data protection requirements.
- Assist with Geneva payroll preparation and variable pay information.
- Support salary allocations and related HR processes.
Learning & Development
- Support the performance appraisal process and related communications.
- Collect and analyse training and development needs.
- Contribute to training planning, implementation and budget monitoring.
HR processes & support
- Contribute to improving and standardising HR processes, tools and documentation.
- Support internal HR communications and HR-related audits.
- Review and validate consultants’ invoices in line with internal policies and donor requirements.
- Provide administrative support for HR-related invoices and other HR activities as required.
What you bring?
- 1–3 years of experience in HR administration or a similar HR support role, preferably in an international or multicultural environment.
- A degree or professional qualification in Human Resources, Business Administration or a related field.
- Good knowledge of HR processes and practices, with an interest in developing your HR expertise.
- Experience using HR information systems; knowledge of Hubdrive is an advantage.
- Strong working knowledge of MS Office, particularly Excel.
- Fluent English and French, both written and spoken.
- Excellent organisation skills, attention to detail and ability to manage multiple priorities and deadlines.
- A service-oriented and collaborative approach, with strong interpersonal and communication skills.
- Discretion and sound judgement when handling confidential and sensitive information.
- Cultural sensitivity and the ability to work effectively with colleagues from diverse backgrounds.
