We are seeking a highly organized and experienced Document Controller with proven expertise in the construction industry to join our team. The successful candidate will be responsible for managing all project documentation, ensuring compliance with company procedures, and facilitating smooth communication and documentation flow across all departments. Key Responsibilities:
- Document Management: Manage and maintain all project-related documents, including contracts, drawings, BOQs, correspondences, approvals, and submittals. Ensure all documents are organized, version-controlled, and easily accessible.
- Cross-Department Coordination: Work closely with internal teams (Contracts, MEP, HSE, Planning, and Site Teams) and external stakeholders (contractors, consultants) to ensure the timely and accurate flow of documents.
- Documentation Tracking and Archiving: Track incoming and outgoing documents and ensure proper filing and archiving of all project-related documents. Maintain logs, registers, and reports for management review.
- Compliance and Confidentiality: Ensure all documents meet legal, regulatory, and internal standards. Maintain confidentiality and accuracy of records in line with ISO/document control standards.
- Tender and Contract Support: Assist the Contracts Department in preparing tender documentation, issuing contracts, and maintaining contract records.
- Document Audits: Conduct regular document audits to ensure compliance with project specifications and document control procedures.
- Reporting: Prepare regular reports highlighting pending approvals, critical documents, and document status for management and stakeholders.
- Support Project Audits: Provide complete and organized document sets for internal and external project audits.
- Continuous Process Improvement: Identify areas for improvement in document control processes and implement solutions to optimize efficiency.
