Vet Villa is looking for a Veterinary Receptionist/Customer Service Liaison whose responsibilities would include, but are not limited to:

Greet pet owners with a friendly and compassionate demeanor, ensuring they feel welcomed and cared for over the phone and when in the hospital.
Schedule appointments with efficiency and empathy, understanding the urgency of medical issues while accommodating client needs.
Reschedule or adjust appointments with compassion, reassuring clients during times of stress or emergency.
Answer phone calls and respond to emails with kindness and patience, offering detailed information while addressing any concerns.
Provide emotional reassurance to worried pet owners seeking advice or updates on their pets’ care.
Facilitate the check-in and check-out process smoothly, ensuring all necessary paperwork is completed while maintaining a calm and supportive atmosphere.
Collect payment while being sensitive to any financial concerns and offering available solutions in a considerate manner.
Clearly explain treatment plans, follow-up care instructions, and next steps with empathy, making sure pet owners feel confident and informed.
Listen actively to client concerns and relay messages to the veterinary team with understanding and urgency, when necessary.
Remain composed and compassionate when handling emergencies, providing support and calm reassurance to clients in distress.
Direct urgent cases to the veterinary team with a sense of empathy, ensuring that both pets and owners feel prioritized and cared for.
Update and maintain client and patient records accurately, while always maintaining a sensitive and respectful approach when dealing with delicate information.
Offer emotional support to clients dealing with difficult situations, including the loss of a pet or a severe medical diagnosis.
Provide tissues, water, or a comforting word to grieving or stressed pet owners in need.
Work closely with veterinarians, technicians, and other staff to ensure seamless care for clients and patients, always maintaining a supportive and compassionate attitude.
Assist with communication between team members and clients to ensure everyone feels heard and valued.
Maintain a clean, welcoming, and comfortable reception area for clients, ensuring it provides a peaceful atmosphere for pet owners waiting for care.
Offer emotional support to anxious pet owners, recognizing that veterinary visits can be stressful.

Qualifications:

Communication Skills: Excellent verbal and written communication skills are crucial for interacting with clients, handling phone calls, and managing correspondence.
Customer Service Experience: Previous experience in customer service, especially in a veterinary or medical setting, is highly beneficial.
Organizational Skills: Ability to manage scheduling, handle multiple tasks, and maintain accurate records.
Basic Medical Knowledge: Familiarity with veterinary terminology and basic animal care can help in understanding and addressing client needs more effectively.
Computer Skills: Proficiency with office software and veterinary management software for scheduling and record-keeping.
Attention to Detail: Accuracy in handling appointments, billing, and medical records is crucial.
Problem-Solving Abilities: Ability to handle unexpected situations calmly and efficiently.
Compassion and Empathy: A genuine love for animals and humans and understanding of the emotional aspects of pet care.
Teamwork: Ability to work well with veterinary staff and support team members.
