Job Summary
We are seeking a dedicated and compassionate Veterinary Receptionist to join our team. The ideal candidate will be the first point of contact for clients and their pets, providing exceptional customer service while managing the front desk operations of our veterinary clinic. This role requires a blend of administrative skills and a passion for animal care, ensuring that both clients and their pets feel welcomed and well-cared for.

Flexible and adaptable with the ability to multitask efficiently
Experience or knowledge in medication administration
Veterinary experience and knowledge of veterinary terminology
Familiarity with hospital operations and animal care practices
Basic computer literacy, including typing and experience with
Preferred: Familiarity with Avimark software for veterinary practice management
Preferred: Experience as a customer service representative in a veterinary setting
High school diploma or GED
Physical Demands
Ability to handle multiple tasks simultaneously and work in a fast-paced environment
Ability to sit or stand for long periods of time and move frequently throughout the workday
Ability to lift, bend, kneel, crouch for extended periods of time
Ability to work in a quiet to moderately noisy environment
Software & Recordkeeping
Prepare initial client/patient accounts and enter information accurately
Update client accounts; verifying accuracy of personal and patient’s information
Schedule and reschedule or cancel appointments when necessary
Check in and out patients for various inpatient and outpatient procedures
Check out each client with the ability to process all types of acceptable payments
Scan in all paper medical records, check in sheets, lab work, surgery forms, etc. and attach to client/patient accounts accordingly
Reconcile cash drawer and process all transactions with appropriate closing procedures
Client Communication & Support
Greet clients and patients in a professional and friendly manner
Escort clients to exam rooms when necessary
Provide excellent customer service by communicating effectively with clients regarding their pet’s care and be attentive to their needs
Identify and work compassionately with clients in various emotional states (e.g. distressed, disgruntled, frustrated)
Assess urgent vs critical patients to get their situation addressed in an appropriate and timely manner
Monitor client flow from check in to discharge and keep clients and team members informed of wait times
Answer and triage phone calls from clients; answering multiple phone lines when necessary
Handle patient follow-up calls
Relay appropriate information to/from clients to doctors and/or management
Manage record requests from clients and other hospitals and send once approved by DVM
Provide client education
Explain discharge/homecare instructions after all patient visits
Handle and process client prescription refill requests pending DVM approval
Handle pharmacy-related tasks (e.g. going over patient prescriptions with owners)
Assist with patient aftercare, including handling of deceased animals, special memorial requests, and sending sympathy cards
Job Type: Full-time
Pay: $19.00 – $23.00 per hour
