Job Summary:
As the first point of contact for our clients, they play a crucial role in creating a positive and welcoming experience. This position requires excellent communication skills, a passion for animals, and the ability to multitask in a fast-paced environment.
Essential Duties and Responsibilities:
Client Communication:
Greeting clients and their pets warmly and professionally.
Answering phone calls, scheduling appointments, and managing the appointment calendar.
Providing information about clinic services, fees, and policies.
Communicating effectively with clients regarding their pet’s care, treatment plans, and follow-up instructions.
Handling client inquiries, concerns, and complaints with empathy and professionalism.
Gather incoming referral information to relay to the DVM or PM to give an accurate quote.
Administrative Tasks:
Maintaining accurate client and patient records in the practice management system.
Processing payments and preparing invoices.
Managing incoming and outgoing mail, e-mail, texts and faxes.
Preparing and organizing client paperwork, including consent forms and medical records.
Assisting with inventory management by receiving orders and imputing them into DaySmart
Maintaining a clean and organized reception area.
Animal Care Support (As needed and within scope):
Assisting with obtaining weights on all incoming appointments.
Observing animals in the waiting area for signs of distress and alerting veterinary staff.
Providing compassionate care to animals in the reception area.
Team Collaboration:
Work effectively as part of a team in a fast-paced environment.
Communicate effectively with veterinarians, other technicians, and support staff.
Follow established protocols and procedures.
Participate in staff meetings and training sessions.
Qualifications:
Proven experience in customer service, preferably in a veterinary or medical setting.
Excellent communication and interpersonal skills, both verbal and written.
Strong organizational skills and the ability to multitask effectively.
Proficiency in using computers and practice management software
Ability to handle stressful situations with composure and empathy.

Holiday Pay: New Years Day, Memorial Day, July 4th, Labor Day, Thanksgiving, Christmas Eve + Christmas Day, Your Birthday <3. Additionally, The clinic is often closed on Black Friday, and New Years Eve. These days are unpaid, however, vacation days can be used if desired. All pet products and prescriptions are at cost plus 10% Services are at cost of consumables used + the discretion of the providing veterinarian.
