This position is not just about answering phones and scheduling appointments, it is about providing top notch service to each and every client/patient that comes through the door.

We are a feline exclusive hospital and deluxe boarding facility located in Costa Mesa near the beautiful beaches of Southern California. We have a very small, talented and hard working team that is ready to grow.

This is a full-time position that will include some closing shifts. No Weekend Shifts!

Responsibilities and Duties

Greets clients as soon as they walk through the door, by name, in a friendly manner
Maintain an impeccably clean and orderly workplace
Answer the phone within 2 rings and with a pleasant greeting including name
Memorize the Cat Clinic phone number, email address and address
Must check the schedule regularly and know the next 4 appointments that are coming in.
Must be able to correctly schedule all types of appointments
Enter all client and patient information into the computer database correctly
Record all client and patient information properly in the patient electronic medical records
Able to correctly enter invoices and check out a client
Able to collect money from a client during checkout
Able to correctly check in a client
Able to give clients clear and correct directions to Cat Clinic
Initial all notes and date them when appropriate
Able to communicate accurate information to clients
Able to close and properly complete the “end of day” report
Must be able to help clients when they are coming in for euthanasia
Able to replace toner/ink cartridges in printers
Able to troubleshoot the computers and the printers
Responsible for confirming appointments
Able to recognize and meet client needs
Must be able to obtain a thorough knowledge of computer system
Must be able to perform closing procedures
Able to maintain patient records, consent forms, payment forms, etc
Able to maintain the appearance of lobby and reception area; including vacuuming, mopping, dusting, cleaning windows, stocking shelves and tidying up where needed.
Help making pets and owners feel welcome in hospital
Able to recognize severe cases in need of immediate attention
Know when to keep animals isolated from others when necessary – like cats with contagious diseases and respiratory problems
Must be able to multitask
Must be able to handle difficult clients and stay calm during stressful situations
Able to understand and explain minor medical issues
Able to help in other areas of the hospital when needed
Assist Hospital Administrator with various task
Qualifications and Skills

At least 3 years of experience working in a Veterinary hospital as a receptionist.

At least 1 year of customer service experience.

Job Type: Full-time

Pay: $19.00 – $21.00 per hour

Expected hours: 38 – 40 per week
