Job Summary

The Practice Manager/Accountant is responsible for overseeing the daily operations of
the clinic, ensuring that it runs smoothly and efficiently. This role involves managing
staff, the financial records and transactions of the clinic, client relations, and ensuring
high standards of veterinary care. The Practice Manager plays a critical role in the
success and growth of the clinic by maintaining an organized, compassionate, and
professional environment. The role will be a key member of the “Heads of House”
leadership team involved in strategic planning and all clinic wide decisions.

Key Responsibilities

Staff Management: Recruit, train, and supervise non-medical clinic staff. Conduct performance evaluations, provide feedback, and foster a positive work

environment.

Financial Management: Maintain accurate financial records, prepare and

analyze financial reports, and ensure compliance with relevant laws and
regulations. Play a crucial role in overseeing the financial health of the clinic,
enabling the delivery of high-quality veterinary services. Including:

Financial Record Keeping: Maintain and update financial records of the

clinic, including accounts receivable, accounts payable, payroll, and
general ledger entries.

Financial Reporting: Prepare monthly, quarterly, and annual financial

reports, including balance sheets, income statements, and cash flow
statements. Analyze financial data and provide insights to support
decision-making.

Budgeting and Forecasting: Assist in the development of the clinic’s

annual budget and financial forecasts. Monitor budget performance and
report any variances to clinic management.

Tax Compliance: Ensure timely and accurate filing of all tax returns and

compliance with local, state, and federal tax regulations. Stay updated on
changes in tax laws that may affect the clinic.

Audit Preparation: Prepare financial documents and records for internal

and external audits. Ensure compliance with established accounting
standards and policies.

Accounts Receivable and Payable: Manage billing processes, follow up

on overdue accounts, and ensure timely payment of invoices. Reconcile
bank statements and resolve discrepancies.

Payroll Management: Process payroll for clinic employees, ensuring

accurate calculation of wages, deductions, and benefits. Maintain payroll
records and handle payroll-related inquiries.

Financial Advice: Provide financial guidance and advice to clinic

management to support strategic planning and operational decisions.

Software Proficiency: Utilize accounting software and other financial

management tools to streamline processes and improve efficiency.
Ensure data integrity and security.

Client Relations: Ensure excellent customer service by addressing client

concerns and resolving issues. Maintain and enhance client satisfaction and
retention through effective communication and client education.

Operations Management: Develop and implement clinic policies and

procedures. Manage inventory, supplies, and equipment maintenance.

Marketing and Promotion: Develop and execute marketing plans to attract new

clients and retain existing ones. Manage the clinic’s online presence, including
website and social media.

Facility Management: Ensure the clinic is clean, organized, and safe. Coordinate maintenance and repairs as needed.

Qualifications

Education: Bachelor’s degree in business administration, veterinary technology,

or a related field preferred.

Experience: Minimum of 3-5 years of experience in a veterinary clinic or medical

practice management position.

Job Type: Full-time

Pay: $60,000.00 – $64,000.00 per year
