Job Summary:
At Providence Veterinary Care in Arkadelphia, the Veterinary Client Service Representative (CSR) plays a key role as the first point of contact for clients at our clinic. This position requires excellent communication, organizational, and customer service skills. The CSR is responsible for welcoming clients, answering phone calls, managing appointments, maintaining client records, and supporting the veterinary team to ensure a smooth and professional client experience.
Key Responsibilities:
Greet clients warmly in person and on the phone in a courteous and professional manner
Answer incoming calls, schedule appointments, and follow up with clients as needed
Maintain accurate and up-to-date patient and client records in the practice management software
Process payments, invoices, and provide estimates for services
Communicate clearly with clients about pet care instructions, follow-ups, and general inquiries
Ensure the reception area and client-facing areas are clean, organized, and welcoming
Support the veterinary team by relaying messages, assisting with inventory, and coordinating workflow
Handle client concerns or complaints with professionalism and escalate as needed
Adhere to hospital protocols, including confidentiality and safety procedures
Qualifications:
High school diploma or equivalent is required
Previous veterinary or medical office experience is preferred
Strong verbal and written communication skills
Proficient in computer use and ability to learn veterinary software system
Ability to multitask and remain calm in a fast-paced environment
Compassionate and empathetic attitude toward animals and their owners
