Bishop Ranch Veterinary Center & Urgent Care is seeking an experienced Client Service Representative (CSR) to join our collaborative, fast-paced hospital team.

We are looking for a customer service professional who thrives in a busy environment, enjoys helping people and their pets, and is passionate about delivering exceptional service with every client interaction.

This role is ideal for candidates who enjoy building relationships with clients, managing a high volume of incoming phone calls, coordinating appointments, and working as part of a collaborative veterinary team.

What We’re Looking For

Candidates should have experience or proficiency in:

  • Providing exceptional customer service in a fast-paced environment
  • Managing a high volume of incoming phone calls
  • Scheduling appointments and coordinating multiple calendars
  • Communicating professionally in person, over the phone, and through email
  • Multitasking while maintaining accuracy and attention to detail
  • Working collaboratively with doctors, technicians, assistants, and fellow CSRs
  • Learning and navigating multiple computer systems
  • Handling client concerns with empathy, professionalism, and efficiency

Veterinary reception experience is preferred, but candidates with strong customer service experience in other fast-paced industries are encouraged to apply.

Client Service Responsibilities

  • Greet clients and their pets with professionalism, warmth, and compassion.
  • Answer incoming phone calls promptly while providing exceptional customer service.
  • Schedule appointments, technician services, and follow-up visits.
  • Verify client and patient information and maintain accurate medical records and documentation.
  • Process payments, explain invoices, and answer general billing questions.
  • Monitor appointment schedules and communicate delays or scheduling concerns with the medical team.
  • Manage assigned administrative tasks throughout the day, ensuring timely and accurate completion.
  • Support doctors, technicians, assistants, and other hospital departments as needed to promote efficient hospital operations.
  • Communicate effectively with clients and hospital staff using hospital communication systems.
  • Promote hospital services, wellness recommendations, boarding, and retail products when appropriate.
  • Maintain a clean, organized, and welcoming reception area.
  • Contribute to a collaborative team environment by assisting coworkers and adapting to changing hospital needs.

Qualifications

  • Minimum of 3 years of customer service experience strongly preferred.
  • Experience working in a fast-paced, customer-facing environment.
  • Veterinary reception experience is preferred but not required.
  • Excellent verbal and written communication skills.
  • Strong computer skills and the ability to learn multiple software systems.
  • Exceptional organizational skills with strong attention to detail.
  • Ability to remain calm, professional, and compassionate while managing multiple priorities.

Additional Requirements

The nature of the Client Service Representative role requires:

  • On-site presence.
  • Ability to sit, stand, and walk throughout the workday.
  • Ability to communicate clearly in person and over the phone.
  • Ability to use computers, multi-line phone systems, and other office equipment for extended periods.
  • Strong attention to detail while multitasking in a fast-paced environment.
  • Strong verbal communication skills in English.

Compensation, Benefits & Schedule

  • $25-$30 per hour, depending on experience
  • Full-time
  • Night and weekend availability required
