Tele-Receptionist (Patient Scheduling/Reminders)
Remote (Based at an approved local secure facility). We work US time zones and ask that you’re available during those hours, even if that means adjusting your schedule.
About The Role
This role exists to keep patient scheduling accurate and appointment reminders timely, so patients receive care without delays or confusion. The position works primarily asynchronously, coordinating with a team spread across multiple countries and time zones. Success in this role means patients experience clear, confidential, and well-organized communication at every scheduling touchpoint. The team values structured processes and expects zero tolerance for errors involving patient information. You will work independently most of the time, using established procedures rather than constant direct oversight.
What You’ll Do
Manage patient appointment scheduling from first contact through confirmation and follow-up.
Send appointment reminders through approved messaging and reminder systems on a consistent schedule.
Maintain accurate patient records within the practice management and electronic health record systems.
Handle all patient information according to confidentiality and compliance standards at every step.
Coordinate multiple scheduling requests and patient inquiries at the same time without losing accuracy.
What We’re Looking For
Experience communicating directly with patients by phone in a healthcare setting.
Demonstrated skill in scheduling appointments accurately across multiple calendars or providers.
Strong understanding of confidentiality requirements when handling patient information.
Proven ability to multitask across several scheduling and communication channels at once.
Working familiarity with practice management software, scheduling systems, and patient portal systems.
Experience with electronic health record systems and compliant messaging or reminder tools.
