Job Purpose
The Records Management Specialist will provide overall technical leadership for the organisation, classification, indexing, inventorying, retention planning, and digitisation-readiness preparation of institutional records. The role will ensure that records are properly identified, sorted, coded, labelled, registered, securely handled, and arranged in line with approved records management standards, institutional policies, confidentiality requirements, and audit-readiness expectations.
The consultant will guide the project team, liaise with the client, review existing filing systems, develop practical records management tools, and support the establishment of a sustainable physical and digital records management framework.
Key Duties and Responsibilities
The Records Management Specialist shall:
1. Provide overall technical leadership for the records organisation and digitisation-preparation assignment.
2. Conduct a records system analysis to assess the current filing practices, storage conditions, retrieval challenges, classification gaps, and records management risks.
3. Lead the consolidation, sorting, classification, indexing, coding, labelling, and arrangement of physical records.
Minimum Qualifications
The Lead Records Management Consultant should possess:
1. A Master’s degree in Records and Archives Management, Information Management, Library and Information Science, Knowledge Management, or a closely related field.
2. A Bachelor’s degree in Records and Archives Management, Library and Information Science, Information Management, Information Systems, or another relevant discipline.
3. Additional professional training in records management, archives administration, knowledge management, information governance, document control, electronic records management, or digitisation will be an added advantage.
