The Receptionist is responsible for providing a professional and welcoming front-office experience for customers, visitors, regulators, suppliers and employees. The role serves as the first point of contact for Sunbet Botswana, ensuring efficient management of reception services, telephone communications, visitor administration and general office support while maintaining confidentiality and compliance with company policies and Botswana’s regulatory framework.

The Receptionist contributes to the smooth operation of the business by supporting administration, document management, meeting coordination and office logistics in line with Sunbet Botswana’s customer service standards and corporate values.

Key Responsibilities

Reception & Customer Service

  • Provide a professional and welcoming first point of contact for customers, visitors, employees, suppliers, and stakeholders.
  • Manage the reception area to ensure a professional, organised, and customer-friendly environment.
  • Answer, screen, and direct incoming telephone calls efficiently and professionally.
  • Handle general customer enquiries and direct queries to the appropriate departments.
  • Receive and escalate customer complaints or requests where required.
  • Maintain confidentiality when handling customer, employee, and business information.
  • Manage visitor sign-in procedures, access control requirements, and visitor records.
  • Professionally receive representatives from regulatory authorities, suppliers, partners, and other stakeholders.
  • Support customer queries relating to responsible gambling by directing them to the relevant teams.
  • Provide professional assistance to VIP customers, partners, sponsors, and external visitors.

Office Administration & Coordination

  • Manage incoming and outgoing correspondence, including emails, courier deliveries, and postal services.
  • Receive, record, distribute, and file documentation accurately.
  • Maintain administrative filing systems and support document retrieval when required.
  • Coordinate office stationery, consumables, and general office requirements.
  • Assist with travel arrangements, accommodation bookings, and visitor logistics.
  • Support procurement administration for office supplies and services.

Meeting & Executive Support

  • Coordinate meeting room bookings and maintain meeting calendars.
  • Prepare meeting rooms and ensure required equipment and materials are available.
  • Assist with executive meetings, stakeholder engagements, and company events.
  • Support document preparation, printing, scanning, and document binding.
  • Provide general administrative support to management when required.

Compliance, Confidentiality & Records Management

  • Maintain confidentiality of customer, employee, and company information.
  • Ensure compliance with data protection requirements and internal confidentiality policies.
  • Safeguard sensitive documents received at reception, including compliance-related documentation.
  • Maintain accurate visitor registers and document control records.
  • Support audit and inspection requirements through accurate record keeping.
  • Ensure adherence to company security, access control, and health and safety procedures.

Facilities & General Support

  • Maintain professional standards within reception and meeting areas.
  • Report maintenance issues and coordinate service requirements.
  • Monitor office equipment functionality and arrange servicing where required.
  • Support office events, sponsorship activities, and internal functions.
  • Provide general administrative support across departments, including HR, Finance, and Marketing.

Qualifications

  • Certificate or Diploma in Office Administration, Business Administration, Secretarial Studies, Customer Service, or a related field.
  • Reception or front-office certification will be advantageous.

Experience

  • Minimum 2–3 years’ experience in a receptionist, front-office, customer service, or administrative role.
  • Experience working within a corporate environment.
  • Proven experience managing a busy reception area and handling multiple stakeholders.
  • Experience operating multi-line telephone systems.
  • Experience using Microsoft Office applications.
  • Strong customer service experience is essential.
  • Experience working within a regulated industry will be advantageous.
  • Experience handling confidential documentation and administrative records will be beneficial.
