Job Summary:
The Practice Associate IV (FPO) is an experienced professional with exceptional medical practice support skills. The role uses initiative in completing assignments independently and with minimal supervision. The Practice Associate IV serves as the primary administrative support for 1 or more providers and ensures and efficient daily provider workflow and a positive patient experience related to appointments, referrals, authorizations, and other administrative requests. The Practice Associate IV addresses escalated issues and unfamiliar situations and mentors the Practice Associate I-III roles. The Practice Associate IV is part of a team that delivers an exceptional patient experience through kindness, inclusion, integrity, accountability, and excellence.
The DTP Coordinator for the Division of Digestive & Liver Diseases is responsible for managing and coordinating endoscopic and related gastrointestinal procedures across three clinical sites: 1111 in Westchester, Columbia Doctors Midtown, and Milstein. This position serves as a key liaison between patients, providers, procedural units, and administrative staff to ensure efficient scheduling, communication, and clinical coordination of digestive procedures.
Job Responsibilities:
Coordinate and manage scheduling of GI-related procedures across the three campuses.
Serve as the central point of contact for patients undergoing procedures, providing pre-procedure instructions and post-procedure follow-up.
Communicate with physicians, APPs, nurses, and procedural units to ensure appropriate documentation, preparation, and clearances are completed prior to procedures.
Monitor and manage the procedural calendar to ensure timely access and optimize provider utilization.
Document patient communications and procedural updates in Epic.
Respond to patient inquiries via phone, MyChart, and other communication platforms.
Participate in quality assurance initiatives and support process improvement across the DTP workflow.
Maintain up-to-date knowledge of procedural prep protocols and facility-specific guidelines.
Collaborate with site administrators to address operational issues and support cross-campus consistency.
Assist Supervisor/Manager with special projects as needed. May supervise specific tasks as determined by Manager/Supervisor.
Job Requirements:
Associate degree is required. May be substituted by 3 years of relevant experience.
A minimum of 5 years’ relevant experience or a combination of certifications, coursework and experience.
Ability to mentor teammates and encourages positivity and adaptability to new and changing situations.
Strong proficiency of Microsoft Office (Word & Excel) or similar software is required and an ability and willingness to learn new systems and programs.
Prior experience in EPIC/EHR is preferred.
Prior experience in Training is preferred.
Prior experience in a medical office setting is preferred.
Bilingual English/Spanish a plus but not required.
