The M&E Associate will support the routine implementation of monitoring and evaluation activities, with particular emphasis on data collection, compilation, entry, verification, data quality, field monitoring, documentation, and maintenance of project M&E records and databases.
Working under the supervision of the RM&E Officer/Manager, the M&E Associate will coordinate closely with project teams, field staff, health facilities, implementing partners, and other relevant stakeholders to ensure that program data are complete, accurate, timely, and appropriately documented. The position will also support field implementation of assessments, evaluations, research activities, and other RM&E assignments as required.
Primary Responsibilities:
Technical Support
Support the implementation of established data management Standard Operating Procedures (SOPs) to ensure accuracy, completeness, consistency, timeliness, confidentiality, and standardization of project data.
Collect, compile, organize, and enter routine program and monitoring data into approved project databases, trackers, and digital information systems.
Maintain and regularly update project databases, monitoring trackers, facility records, indicator tracking sheets, and other M&E records as assigned.
Conduct routine data quality and validation checks to identify missing, duplicate, inconsistent, incomplete, or inaccurate records and flag identified issues to the RM&E Manager.
Follow up with relevant project staff, field teams, health facilities, and other reporting units to obtain missing information, source documents, and facilitate timely correction of identified data discrepancies.
Verify reported data against available source documents, including registers, reporting forms, monitoring records, attendance sheets, and other project documentation.
Support routine cleaning, organization, coding, and preparation of datasets for further analysis by the RM&E Manager.
Ensure appropriate filing, backup, retrieval, and archiving of M&E data and supporting documentation in accordance with organizational data management procedures.
Maintain an organized electronic and/or physical repository of documents and their MOVs, including but not limited to project supporting evidence, photographs, attendance records, monitoring documentation, and other relevant records required for project reporting and verification.
Routine Monitoring
Conduct routine field monitoring visits, jointly or independently as assigned, to verify implementation progress, reported activities, service records, and adherence to established monitoring and reporting requirements.
Use approved monitoring checklists and tools during field visits and accurately document observations, data discrepancies, implementation gaps, and agreed follow-up actions.
Assist in preparing field monitoring reports for review by the RM&E Manager.
Track implementation of agreed corrective actions arising from monitoring visits and follow up with relevant teams on outstanding actions.
Support desk-based monitoring through regular review of project reports, activity records, databases, and monitoring trackers.
Assist in tracking progress against established project targets and flag reporting delays, data gaps, or significant variations requiring further review.
Maintain organized records of monitoring visits, findings, recommendations, corrective actions, and follow-up status.
Data Management, Compilation and Reporting
Compile routine project data and prepare basic tables, summaries, charts, and progress updates using Excel and other approved systems.
Assist the RM&E Manager in preparing monthly, quarterly, annual, donor, and other program reports by providing validated data and supporting documentation.
Support routine disaggregation of program data by relevant variables or other project-defined categories.
Assist in maintaining indicator performance trackers and ensuring that supporting evidence is available for reported results.
Support preparation and organization of data required for routine project performance review meetings.
Document data-related issues, decisions, and agreed follow-up actions arising from routine M&E reviews.
Evaluation, Assessment and Research Support
Support field implementation of baseline, midline, endline, assessments, evaluations, and research activities as assigned.
Assist in logistical and field coordination for data collection activities, including coordination with project teams, health facilities, respondents, and other relevant stakeholders.
Conduct routine checks of completed data collection forms and electronic submissions to identify missing information, inconsistencies, or other quality issues.
Support data entry, cleaning, organization, filing, and maintenance of evaluation and research datasets and supporting documentation.
Assist in monitoring field data collection progress against agreed work plans and promptly report implementation or data quality issues to the RM&E Manager.
Other Responsibilities
Coordinate closely with project teams, government officials and other relevant staff to facilitate project and M&E activities.
Participate in relevant project, M&E, and data review meetings as required.
Travel regularly within the assigned geographic area and, when required, to other project locations to support project, monitoring, evaluations, and research activities.
Perform other M&E-related duties assigned by the RM&E Officer, RM&E Manager, or designated supervisor.
Experience And Skill Set
- Bachelor’s degree in social sciences, statistics, public health, epidemiology, economics, or another relevant discipline.
- Minimum 1–2 years of relevant professional experience in monitoring and evaluation, data management, research, surveys, or program monitoring, preferably within the health or development sector.
- Previous experience working with health facilities, community-based programs, NGOs/INGOs, or development projects will be an advantage.
- Applied knowledge of quantitative and qualitative monitoring and evaluation methodologies.
- Knowledge of sampling approaches.
- Quantitative skills including demonstrated ability in the collection, analysis and presentation of quantitative data.
- Good working knowledge of Microsoft Excel and SPSS, including data entry, data cleaning, basic formulas, and preparation of simple charts and summaries.
- Familiarity with digital data collection platforms such as KoboToolbox, ODK, SurveyCTO, or similar platforms will be an advantage.
- Good written and verbal communication skills.
- Good organizational and time-management skills with attention to detail.
- Ability to work independently on assigned routine tasks while seeking guidance when required.
- Ability and willingness to undertake regular field travel.

Preferred
- Qualification in a medical or public health, social sciences or equivalent field.
- Prior experience of working in the reproductive health field with development sector.
