Lead Veterinary Patient Intake Specialist
We are seeking a compassionate, organized, and proactive Lead Veterinary Patient Intake Specialist to join our dedicated veterinary team. In this pivotal role, you will act as the primary liaison between our Customer Service Representatives (CSRs), Doctors, and Treatment Team, ensuring a seamless and professional patient intake experience. You will be instrumental in facilitating clear communication, supporting patient care, and enhancing clinical workflow. The ideal candidate will have a solid background in client service within a veterinary or medical environment, exceptional communication skills, and a genuine passion for animal care.
Key Responsibilities
Lead and guide the intake process by serving as the primary liaison between front desk staff, doctors, and the treatment team.
Support and mentor Customer Service Representatives (CSRs) to ensure consistent, high-quality client service.
Monitor and manage patient intake flow to ensure timely and accurate transitions from reception to clinical care.
Respond promptly to client inquiries via phone, email, or chat with professionalism and empathy.
Accurately document patient histories and client concerns in the medical record system.
Perform basic clinical intake tasks including weighing patients, taking temperatures, and gathering vital signs.
Oversee prescription preparation and ensure correct handling, labeling, and client communication.
Model and reinforce safe and effective animal handling practices.
Resolve client issues efficiently, escalating when necessary, while ensuring a positive experience.
Collaborate with the treatment team to coordinate patient care and address workflow needs.
Track and review patient interactions and records to support quality assurance.
Assist in implementing and promoting new services or wellness initiatives alongside the practice manager.
Perform other duties as assigned by management to support the success and smooth operations of the team.
Qualifications & Skills
3+ years of veterinary assistant experience is required.
2+ years of experience in a veterinary or medical reception/intake role (preferred).
Veterinary Medical Clerk License (preferred).
Strong communication skills, both written and verbal.
Knowledge of veterinary terminology and basic clinical tasks.
Proficient with computer systems, including Microsoft Word, Excel, and veterinary practice management software.
Excellent multitasking and organizational skills.
Comfortable handling dogs and cats of all sizes and temperaments.
Able to stay calm and efficient in a fast-paced environment.
Experience in conflict resolution and client education.
Job Type: Full-time
Pay: $22.00 – $24.00 per hour
Expected hours: 36 – 40 per week
