Job Purpose

To manage and coordinate all HR and administrative functions within the manufacturing plant, ensuring full compliance with Kenyan labor laws, statutory payroll obligations, and social welfare regulations while supporting operational efficiency in a fast-paced production environment.

Key Responsibilities

Payroll & Statutory Compliance

  • Process monthly payroll accurately, including overtime, shift allowances, attendance, and leave data.
  • Ensure timely and accurate calculation, deduction, and remittance of all statutory contributions: PAYE (progressive bands: 10% on 0–24,000 KES, 25% on 24,001–32,333 KES, 30% above 32,334 KES), NSSF (employer and employee each KES 200/month), SHIF (2.75% of gross monthly salary – replaced NHIF effective 2024), and Affordable Housing Levy (1.5% of gross monthly salary from both employer and employee).
  • Submit all statutory returns via KRA iTax portal and other regulatory platforms by the 9th of the following month.
  • Maintain accurate payroll records and employee files in compliance with record-keeping requirements.

Labor Law Compliance

  • Handle termination, redundancy, and disciplinary procedures in strict accordance with the Employment Act, including notice periods and severance pay where applicable.
  • Maintain up-to-date knowledge of changes in Kenyan labor laws and manufacturing sector regulations.

Employee Relations & Industrial Relations

  • Serve as the primary point of contact for employee grievances, disciplinary matters, and workplace conflict resolution.
  • Prepare and manage show cause letters, warning letters, and disciplinary documentation.
  • Liaise with trade unions where applicable and manage industrial relations matters.

Recruitment & Onboarding

  • Coordinate end-to-end recruitment for production and support staff, including job posting, shortlisting, interviewing, and selection.
  • Facilitate onboarding, induction, and orientation programs for new hires.

HR Administration & Reporting

  • Maintain accurate employee records, attendance tracking, and leave management systems.
  • Prepare HR reports and metrics for management review.
  • Support performance management processes, including probation reviews and appraisals.

Qualifications & Requirements

  • Bachelor’s Degree or Diploma in Human Resource Management or related field.
  • Minimum 3–5 years of HR experience, with at least 2 years in a manufacturing or industrial environment – essential.
  • Thorough, demonstrable knowledge of Kenyan labor laws (Employment Act 2007), payroll statutory deductions (PAYE, NSSF, SHIF, Housing Levy), and social welfare policies.
  • Proficiency in HRIS and payroll systems; Microsoft Office proficiency required.
  • Membership with IHRM (Institute of Human Resource Management) is an added advantage.
  • Strong communication, interpersonal, and problem-solving skills.
  • Ability to handle confidential information with integrity and work in a fast-paced, deadline-driven manufacturing environment.
