Context
The World Health Organization (WHO) is the United Nations agency responsible for promoting health, coordinating responses to health emergencies, and supporting countries in achieving universal health coverage and improved well-being for all. Guided by its Triple Billion targets, WHO works with governments and partners to strengthen health systems and ensure equitable access to quality health services. This assignment supports the operational management of WHO accommodation facilities by assisting with guesthouse administration, logistics, maintenance, and customer service. Working under the supervision of the Administrative Assistant and the guidance of the Senior Operations Officer, the Guesthouse Assistant will help ensure efficient operations, high service standards, and a safe, comfortable environment for guests and staff.
Description of duties
- Manage guest bookings, reservations, inquiries, occupancy records, and guest information.
- Coordinate room allocation, arrivals, departures, and occupancy optimization to maximize efficiency.
- Work closely with housekeeping teams to ensure rooms are prepared and maintained to appropriate standards.
- Conduct regular inspections of facilities and coordinate maintenance and repair activities.
- Maintain records of preventive maintenance, repairs, inventory, and operational activities.
- Supervise housekeeping and outsourced service providers, ensuring quality service delivery and compliance with contractual requirements.
- Support procurement activities, including purchasing goods and services required for building operations and maintenance.
- Assist in organizing meetings, events, receptions, and conferences, including logistics, venue preparation, and coordination with requesting units.
- Process requisitions, purchase orders, receipts, and monitor supplier performance.
- Contribute to continuous improvement initiatives to enhance operational efficiency and guest satisfaction.
Profile requirements
- Bachelor’s degree in hospitality management, guest services, hotel management, or a related field.
- Minimum 4 years of relevant experience in hospitality, guesthouse, hotel operations, facilities management, or customer service.
- Experience within the UN system, NGOs, or international organizations is an asset.
- Strong organizational, customer service, and facility management skills.
- Experience coordinating housekeeping, maintenance, logistics, and service providers.
- Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint, and familiarity with digital tools and social media.
- Ability to work independently, manage multiple priorities, and meet deadlines in a fast-paced environment.
- Strong interpersonal skills and ability to work effectively in multicultural teams.
- Fluency in Arabic and English is required.
