Ipas Pakistan is implementing multiple projects across different geographic areas, with varying data collection and reporting frequencies. The Data Management Assistant (DMA) will provide centralized data management support to the RM&E team and will work closely with RM&E Officer, M&E Assistants, and project teams to ensure that project databases are complete, accurate, updated, and maintained in accordance with established data management protocols. The position will primarily focus on database-level data management and quality assurance, while field-level monitoring, source verification, and follow-up with support from respective supervisor.

Key Responsibilities

Data Entry and Management

  • Clean, enter, and validate ongoing projects data to ensure accuracy, completeness and consistency.
  • Compile and organize all program data in online database to ensure timely reporting.
  • Create proper electronic folders for program data
  • Weekly upload program data using in-house database

Data Quality and Reporting Support

  • Assist in verifying and cross-checking data for missing values, duplicates and incorrect entries.
  • Support in preparing periodic data summaries, reports, and visual presentations.
  • Contribute to basic data analysis under the guidance of the RM&E Officer.

Documentation and Filing

  • Prepare and maintain filing and documentation of all data-related materials with proper tagging in hard form.
  • Scan and upload hard form data on SharePoint folder and provide access to all relevant personnel.

Administrative and Logistical Support

  • Assist in organizing and documenting meetings, training, and field activities.
  • Provide logistical support for data collection exercises and related events.

Other Duties

  • Perform any other tasks assigned by the supervisor related to data management, monitoring, and evaluation.

Expected Outputs

  • Entry and validation of approximately 300 – 500 data records per month
  • Preparation of 2 – 3 validated datasets and summary reports per month
  • Maintenance of updated electronic filing systems with 100% traceability
  • Coordination with field teams for data clarifications within 24 – 48 hours of receipt
  • Participation in monthly data quality review meetings with the M&E team

Division of Responsibilities:

Primary Focus – Weekly and Monthly data inflows

Provincial Coverage – All provinces + federating units

Role –

  • Lead data cleaning, entry and weekly dashboard updates
  • Archiving, document scanning, and SharePoint uploads

Qualifications And Experience

  • Bachelor’s degree in management sciences, statistics, public health, social sciences, or a related field.
  • Minimum 1–2 years of experience in data entry or M&E support (preferably in the development or health sector).
  • Proficiency in MS Excel, Word, and data management tools (e.g. KoboToolBox, SurveyCTO, PowerBi etc).
  • Strong attention to detail and commitment to maintaining data accuracy.
  • Good organizational and communication skills.
  • Ability to maintain confidentiality and handle sensitive data responsibly.

  • Accuracy Rate: ≥ 98% clean entries per validation cycle
  • Timeliness: ≥ 95% of data entered within agreed deadlines
  • Consistency: 100% alignment between raw and final datasets
  • Compliance: 100% adherence to documentation and archiving protocols
  • Team Collaboration: Active participation in M&E coordination and review meetings
