Job Summary
The Client Service Representative (Doctors Assistant) / Veterinary Receptionist serves as the first point of contact for clients and is responsible for ensuring a seamless and compassionate client experience.
This position requires a high level of customer service, organizational skills, and the ability to effectively communicate and coordinate between clients, veterinary professionals, and staff. The individual in this role must be capable of multitasking in a fast-paced veterinary specialty practice while maintaining accuracy and professionalism.
Essential Duties and Responsibilities
Client Interaction & Communication
ï‚· Provide top-notch customer service in all client interactions, both in person and over the phone.
ï‚· Answer and triage incoming calls and emails; relay messages accurately and promptly.
ï‚· Act as a liaison between clients, veterinarians, and technical staff to ensure timely
communication.
ï‚· Educate clients on pre- and post-operative care, discharge instructions, medications, and general pet care.
ï‚· Handle distressed, emotional, or frustrated clients with compassion and professionalism.
Scheduling & Medical Record Management
ï‚· Schedule appointments, procedures, and follow-up visits accurately using Cornerstone and Google Calendar.
ï‚· Check-in and discharge patients; monitor client and patient flow throughout the visit.
ï‚· Set up and manage patient records, including importing referral documentation and digital radiographs.
ï‚· Generate, finalize, and distribute exam reports to clients and referring veterinarians (rDVMs).
ï‚· Generate, and review treatment plans (estimates) with clients.
ï‚· Track lab, imaging and other diagnostic results and ensure the doctor is promptly notified upon finalization.
Administrative & Financial Tasks
ï‚· Process transactions, deposits, payment plans, Care Credit, and end-of-day reporting.
ï‚· Maintain accurate documentation within the electronic medical record system.
ï‚· Manage and reconcile the cash drawer.
ï‚· Facilitate record transfers to and from other veterinary facilities.
ï‚· Assist with inventory entry and maintenance in Cornerstone.
Clinical Support
ï‚· Support the administrative department within the CSR/DA and reception roles
ï‚· Assist during exams: take histories, confirm referral materials are complete, and document visit details.
Facility Maintenance
ï‚· Maintain cleanliness of the reception area, exam rooms, lobby, and staff areas including kitchen and restrooms.
ï‚· Perform general cleaning duties such as trash removal, laundry, and disinfecting surfaces.
Qualifications
ï‚· High School Diploma or G.E.D. required.
ï‚· Minimum of 1 year in a customer service role (veterinary or medical setting preferred).
ï‚· Strong written and verbal communication skills.
ï‚· Excellent organizational and time management abilities.
ï‚· Ability to multitask and remain calm under pressure.
ï‚· Basic math and computer skills; familiarity with Cornerstone software is a plus.
ï‚· Must be able to safely lift up to 30 pounds and perform physically demanding tasks including bending, stooping, and standing for extended periods.

Job Type: Full-time
Pay: $18.00 – $22.00 per hour
