About the Role
We are looking for an organised and commercially minded Student Recruitment, Admissions & Finance Officer to support an international education business.
You will manage prospective students from their initial enquiry through application and enrolment, while also maintaining accurate invoices and payment records in QuickBooks Online.
Practical QuickBooks Online experience and strong English communication skills are essential. Training will be provided on our HubSpot CRM, courses and admissions procedures.
Key Responsibilities.
Student Recruitment
- Respond to enquiries by telephone, email and WhatsApp.
- Understand each prospective student’s requirements.
- Explain suitable courses, fees and application procedures.
- Follow up consistently with prospective students.
- Convert qualified enquiries into applications and enrolments.
- Maintain accurate notes and stages in HubSpot CRM.
- Meet agreed follow-up, application and enrolment targets.
Admissions Administration
- Process applications and check that the required information is complete.
- Maintain accurate applicant and student records.
- Issue approved offer, payment and enrolment communications.
- Coordinate course dates and pre-arrival information.
- Respond to routine student questions.
- Escalate immigration, safeguarding, complaints and academic matters to management.
Finance Administration
- Create customer records and approved invoices in QuickBooks Online.
- Record deposits, payments and outstanding balances.
- Maintain student fee and payment records.
- Produce accounts-receivable and outstanding-payment reports.
- Send approved payment reminders.
- Update payment trackers using Microsoft Excel or Google Sheets.
- Provide routine records and supporting information to management and the accountant.
The position does not have authority to approve refunds, discounts, write-offs, bank payments or changes to company bank details.
Essential Requirements
- Practical experience using QuickBooks Online.
- Experience creating invoices, recording payments and monitoring outstanding balances.
- Strong written and spoken English.
- Good Microsoft Excel or Google Sheets skills.
- Customer service, sales or enquiry-conversion experience.
- Strong organisation and attention to detail.
- Professional communication and follow-up skills.
- Ability to handle confidential student and financial information responsibly.
Desirable Experience
- Student recruitment, admissions or education counselling.
- Accounts receivable, billing or finance administration.
- Experience with HubSpot or another CRM.
- Experience working with international students or overseas clients.
- Experience in education, training, travel or professional services.

Selection Process

- Responding to a prospective student enquiry.
- Following up with a hesitant applicant.
- Updating a sample CRM record.
- Creating a customer and invoice in QuickBooks.
- Recording a partial payment.
- Producing an outstanding-balance report.
- Updating an Excel payment tracker.
No real student or financial information will be used during the assessment.
