Job Description

  • Proficiency in the use of spread sheets and databases, including Blackboard, Exam Soft, and People Soft
  • Ability to work independently and collaboratively in a dynamic, fast-paced environment
  • Willingness and ability to learn new, relevant technologies as they become available, such as those associated with artificial intelligence

Duties and Responsibilities

  • Provide high-level, complex administrative support to ensure efficient, effective operation of the Office of Academic Affairs.
  • Assist with coordination of activities of the team of staff within the Office of Academic Affairs
  • Assist with data collection and management, such as those related to curriculum, student, faculty, and accreditation as they pertain to academic affairs responsibilities
  • Organize and maintain a variety of records, databases, files, and other documents pertaining to the functions of the Office of Academic Affairs
  • Provide current and accurate information in support of the daily activities of the Office of Academic Affairs
  • Plan and coordinate logistical and administrative support for meetings, events, specialized activities, projects, and long-term initiatives
  • Assist in resolving complex, highly sensitive, and confidential administrative matters, as requested
  • Filter correspondence and compose responses on behalf of the Office of Academic Affairs, including thank you notes, memorandums, emails, etc.
  • Answer phone calls and respond to non-routine information requests
  • Work closely with students, other offices, staff, faculty, and departments to facilitate smooth operations and foster a collaborative environment, contributing to team objectives and morale
  • Provide faculty members assistance with functions related to the Office of Academic Affairs, such as important software programs
  • Oversee coordination of high impact events, such as those related to the office.
  • Coordinate with university offices for quality, on-brand delivery of services, as needed, such as Academic Affairs, Students Affairs, HR, IT, Operations, and Marketing
  • Ensure strict confidentiality is maintained on all matters
  • Oversee and direct others
  • Serve on College of Veterinary Medicine committees

Requirements:

  • Bachelor’s degree or equivalent combination of education and experience
  • Minimum of 3 years of administrative support experience, preferably in a college or university setting
  • Project management experience preferred
  • Previous supervisory experience preferred
  • An employee in this position must complete all appropriate background checks at the time of hire
