Key Responsibilities
HR Responsibilities
Manage employee recruitment, interview coordination, selection, and joining formalities.
Prepare and maintain employee personal files, appointment letters, contracts, certificates, and other HR documents.
Maintain employee records in both physical and digital formats in an organized and confidential manner.
Manage attendance, leave, overtime, roster, and employee-related records through the HR/attendance system.
Coordinate monthly payroll-related information, salary changes, allowances, deductions, SSF, and other employee-related matters.
Support employee onboarding, orientation, transfer, promotion, resignation, and exit formalities.
Assist in preparing job descriptions, HR policies, notices, memos, and internal communications.
Coordinate employee performance appraisal and maintain related records.
Handle employee queries, grievances, and routine HR-related issues professionally.
Maintain confidentiality of employee and company information.
Coordinate with branch managers and department heads regarding HR matters.
Ensure HR practices are aligned with applicable company policies and Nepal’s labor-related requirements.
Administrative Responsibilities
Handle day-to-day administrative activities of the Head Office and coordinate with branches.
Prepare, maintain, file, and update official documents, letters, notices, agreements, and records.
Maintain proper physical and digital filing systems for both company and staff documents.
Coordinate with government offices, municipalities, regulatory bodies, and other external organizations when required.
Assist with company registration, renewal, licenses, approvals, certificates, and other official documentation.
Coordinate office supplies, stationery, equipment, and general administrative requirements.
Support meetings, prepare meeting-related documents, and maintain records when required.
Coordinate internal and external communication on behalf of the company when assigned.
Assist management and different departments with administrative tasks and documentation.
Monitor and follow up on pending administrative and official matters.
Perform other HR and administrative duties assigned by management.
Branch Coordination
Coordinate regularly with branch managers/in-charges regarding attendance, staffing, leave, employee documentation, and other HR matters.
Collect and verify branch-level employee information and reports.
Support smooth implementation of company HR policies and procedures across all branches.
Follow up on employee-related issues and report important matters to management.
Required Skills & Qualifications
Bachelor’s degree or equivalent in HR, Management, Business Administration, or a related field preferred.
Experience in HR and administration, preferably in a healthcare, hospital, dental, or service organization.
Good knowledge of MS Office, Excel, Word, email, and digital documentation.
Ability to maintain organized physical and digital records.
Good communication, coordination, and interpersonal skills.
Ability to handle confidential information responsibly.
Good knowledge of Nepali typing is preferred/required.
Ability to communicate professionally in both Nepali and English.
Valid two-wheeler driving license and ability to ride a bike preferred/required for government-office visits and external administrative work.
